a. Opening meeting Participants are Environment, Health & Safety officer(s), audit contact persons, and members from the management. The previous audit report is reviewed and the supplier’s participants sum up the progress. This can be done either at the opening meeting, or following the factory tour, depending on the subject. The “ECCO Code of Conduct Audit Form, Suppliers” covers the items during the audit. The smiley points mentioned in the audit form are given for extraordinary achievements by the supplier. These points are given to reward initiatives which go beyond the demands for compliance. One extra achievement = one smiley point. Smiley points can be given in cases such as: • Preventive actions relating to work accidents and machine safety. • Replacing harmful chemical substances with alternatives relating to items such as cleaning tools and machines. • Effective employee committees dealing with issues such as welfare and discrimination. Special care for vulnerable employees such as pregnant women. Smiley points are not given for audit items such as: • Initiatives which are already covered in the audit form • Certification systems, including ISO 14000, SA 8000 etc. • General impressions, such as the general standard of the facto r y If a supplier has received a smiley point for an achievement at a former audit, the same smiley point cannot be awarded for the same achievement at subsequent audits. b. Factory tour The production audit tour covers all areas of the factory including: • P roduction facilities • Warehouses and storage facilities for items including raw materials, chemicals, and waste • Workshops, and product development areas • Wastewater treatment plants, if present • P ower sources • S anitary facilities • C anteen facilities • Clinic/sick room • Training facilities • D ormitories, if present • P rayer rooms, if present The production manager must participate in the tour of the factory and associated production facilities. The tour must involve relevant managers for warehouse and storage facilities associated with raw materials, chemicals and waste, wastewater treatment, power sources, sanitary facilities, canteen facilities, and clinic/sick room. c. Interviews with employees and relevant managers During the factory tour, 5-10 employees are selected to be interviewed. The selection is done by the audit team. The auditors should especially identify vulnerable groups, such as young and old employees, ethnic or religious minorities, and pregnant women. To ensure privacy for the employee to speak freely, interviews with the employee are done one by one. The interview is confidential. The name of the interviewed persons 51
