It is likely that not all solutions to improvement are found and discussed during the audit. Thus, the supplier should include any new solutions in the action plan, giving a deadline and identifying the responsible person. The lead auditor will assess the suggested solution and, if necessary, ask for further information. The Managing Director must sign the audit summary and the action plan and return them to the lead auditor within approximately ten working days, along with requested information such as deadlines, responsible persons, possible improvement issues, and signature. The lead auditor also signs and sends the audit documents to the supplier’s audit contact person. Finally, the audit documents are digitally uploaded according to the upload instructions at the ECCO Portal’s Corporate Conduct’s site. Follow-ups between audits According to the deadlines in the action plan, the supplier will inform the lead auditor how improvements are being carried out (if possible with photo of the improvement). Audit follow-up photos are uploaded in the Conclusion meeting presentation. The lead auditor will follow up within five working days from the deadlines in the action plan, if the supplier has not contacted the lead auditor. If the audit form cannot be completed There may be items in the audit form which are not applicable to a supplier. For this relevant item, correct the score from 1 to 0 in the column with the max. score (column “Max.”) and write “Not Applicable” in the column with notes. The audit is considered as not completed if the audit score is below 110 points. A full section in the audit form (e.g. Child Labour) cannot be excluded. It may be possible that the audit cannot be completed because, for example: • T he supplier will not cooperate • E xcessive serious health and safety issues are identified at the factory tour • T he supplier will not release documents for review • Employees are not allowed to be interviewed In this situation, as much as possible of the audit form must be completed, filling in comments, but excluding scoring, and noting the reason in the audit action plan. Duration If the supplier has fewer than 500 employees, audit durations typically require about 1.5 days. If the number of employees is more than 500, the duration is likely to require about two days. The number of employees and duration indicated are intended as a guide. Who conducts the audit? The audit is carried out by two participants from the ECCO Global Code of Conduct Audit Team. ECCO’s Corporate Conduct team is responsible for the training of the auditors and will randomly participate in audits to check if the auditing system and the auditors are working effectively and efficiently. 53
